Preliminary course scheduling for upcoming fall, spring, and summer courses is completed by department chairs/program directors in Ad Astra, the web-based tool developed for this purpose (the Ad Astra link is also available on the left-hand menu). The Office of the Registrar creates course sections for the upcoming fall, spring, and summer terms based on the previous year's schedules. Chairs/directors can then edit those offerings (days/times, instructors, delivery method, etc.) using Ad Astra before submitting them to their college for approval.
Chairs/directors can use the recommendations within Ad Astra based on historical enrollment to modify the number of sections planned for a particular term. Courses with a blue flag indicate a top candidate for adjustment. Chairs/directors should move courses from Evaluate to Review (classic view) or from Chair to Associate Dean/Division Coordinator Approve (new experience)
Associate Deans/Division Coordinators approve the proposed schedule and advance the courses in the workflow to Approve (classic view) or Ready to be entered into J1 (new experience).Â
The Office of the Registrar will enter the modifications into J1 and note the courses as Scheduled (classic view) or Registrar Review Hourly Distribution (new experience). The Office will then run the hourly distribution report and request any adjustments be made to ensure alignment with the schedule grid and distribution across the day by hour.Â
Courses needing final details will be set to the Ready for Chairs to make final revisions status (new experience). Chairs will advance to Final Version for J1 Entry. Office of the Registrar will update in J1 and set the status to Published.

Once scheduling is complete, use the Preview Schedule Before Publishing report to review the unpublished schedule for upcoming semesters. The report takes time to load and can either be viewable through the browser or run directly in spreadsheet format.
